Tidying is not the same as recording

Notes scribbled during a meeting are out of order and full of clipped phrases. Reorganising them into a fixed structure is something AI does quickly and fairly well. But minutes are a record of what was actually decided, and AI tends to fill gaps with plausible wording. If a decision or an owner that was never in the notes slips into a smooth sentence, it can become the official record without anyone noticing. So hand over the tidying, but keep the responsibility for the record with the person who sends it out.

Before you paste: consent and confidentiality

If you plan to feed a recording or an automatic transcript into an AI tool, tell the attendees first. Rules on recording differ between countries and organisations, so check your own policy. Whether meeting content may go into an outside service at all is also a company decision. Even where it is allowed, replace names with roles and remove or mask contract values, customer details and anything about personnel.

Ask for three fixed sections

What matters most in minutes is separating what was decided, who will do what, and what is still open. Ask for those three sections every time and the output keeps the same shape, which makes it easy to check. Add a condition not to add anything that is not in the notes, and another to list unclear points as questions.

  • Example: "Organise these meeting notes into three parts: decisions, action items and open items. Do not add anything that is not in the notes."
  • Example: "If it is unclear whether a line is a decision or an opinion, leave it out of decisions and list it at the end as a question to confirm."

Give actions their own owner and deadline columns

Action items as an owner, task and deadline table make gaps obvious. When the notes name no owner or date, though, AI sometimes guesses from context. A guessed owner tends to stick once the minutes go round, so say plainly that missing cells should read "TBD". If many cells end up TBD, that in itself tells you the meeting left a lot undecided.

  • Example: "Put the action items in a table with owner, task and deadline columns. If the notes do not give an owner or deadline, do not guess; write TBD."

Where it tends to go wrong

Put the tidied version next to the original notes and check these first. Negatives are especially easy to flip in clipped notes: "not launching this month" can become "launching this month" and still read naturally.

  • Is each point still attributed to the right person?
  • Are negatives and deferrals such as "decided not to" or "on hold" intact?
  • Do numbers, dates and weekdays match the notes?
  • Has an "if this happens" scenario turned into a decision?
  • Have objections or concerns been dropped?

Tidying your own notes

The same approach works for personal notes, not just meetings. Ask for a week of scattered thoughts to be grouped by topic, or for the to-dos to be pulled out. Keep the original notes rather than deleting them. The tidied version is only the AI's interpretation, and when you later need the context, the original is more accurate. When saving the result, a plain format of headings and lists is easiest to edit again.

  • Example: "Here are my notes from this week. Group them by topic and, under each group, list only the things I need to do. Do not reword anything; keep my original sentences."

Before you circulate

Once shared, minutes become the reference everyone works from. Check the following before sending.

  • Compared line by line with the original notes
  • Only items actually agreed in the meeting are listed as decisions
  • Actions with no owner or deadline are clearly marked
  • One or two attendees have checked it first
  • Nothing that must not leave the team has slipped in
